# Privacy Policy — HOD Claude Integrator

This policy describes how HOUSE OF DIGBY Inc. ("HOUSE OF DIGBY", "we", "us")

handles information accessed by HOD Claude Integrator ("the Application"), an

internal tool we built for our own use.

## 1. Scope

The Application connects only to QuickBooks Online company files belonging to

HOUSE OF DIGBY Inc. and its affiliates. It is not offered to the public and

holds no customer accounts. There are no external users whose personal

information we collect through it.

## 2. What information the Application accesses

Through the QuickBooks Online API, the Application reads:

- Supplier bills and purchase orders, including line items, quantities and

amounts

- Vendor records, including business names and contact details

- Related transaction detail needed to match a purchase to a shipment

Vendor records may contain the names, business addresses, email addresses and

telephone numbers of individuals acting for our suppliers. This is business

contact information already held in our accounting records.

The Application does not access payroll records, employee personal information,

banking credentials, or payment card data.

## 3. What we do with it

The information is used for one purpose: comparing what HOUSE OF DIGBY was

billed for goods against what those goods actually cost to land, and reporting

differences internally to the people responsible for purchasing and pricing.

We do not sell this information. We do not share it with any third party for

marketing. We do not use it to build profiles of individuals.

## 4. Where it is processed and stored

The Application runs on Google Cloud Platform infrastructure operated by HOUSE

OF DIGBY in Canadian regions. Derived findings — the comparison results, not

copies of the accounting records — are stored there and delivered by email to

HOUSE OF DIGBY staff. Records read from QuickBooks Online are held only as long

as needed to produce a report.

Some analysis is performed using Anthropic's Claude models under HOUSE OF

DIGBY's commercial agreement with Anthropic, under which submitted data is not

used to train models.

## 5. Access

Access is limited to HOUSE OF DIGBY employees and authorised contractors who

need it for their work. The connection to QuickBooks Online is authorised by a

HOUSE OF DIGBY administrator and can be revoked at any time from within

QuickBooks Online.

## 6. Retention and deletion

Underlying accounting records are not retained beyond what is required to

generate a report. Report findings are retained for internal review and deleted

when no longer needed. Disconnecting the Application in QuickBooks Online ends

all further access immediately.

## 7. Security

Credentials are held in Google Secret Manager and are not stored in source code.

Access to the systems running the Application is restricted to named accounts.

Data is encrypted in transit and at rest by the underlying platforms.

## 8. Your rights

Individuals whose business contact information appears in our records may ask

what we hold about them, and ask that it be corrected. Canadian federal privacy

law (PIPEDA) applies to our handling of personal information in the course of

commercial activity. Requests go to the contact below.

## 9. Changes

We may update this policy. The date above reflects the current version.
